You can easily keep your customer data in sync between Outlook and Salesforce when you
use Salesforce for Outlook. You can sync contacts, events, and tasks with
Salesforce, and add emails to related Salesforce records.
Before you install Salesforce for Outlook, review your sync and email settings by clicking
Your Name > Setup > Desktop Integration > Salesforce for
Outlook. Then, click View My Configuration. You can see whether
you can add emails to Salesforce, which Outlook data you can sync, and the direction it syncs.
You may be able to edit some of these settings.
If your administrator hasn’t already installed this application for you, click Back, and
click Download. Then, complete the installer. Now you’re
ready to use Salesforce for Outlook.
Open Outlook, and let the setup wizard walk you through the steps of logging in using
your Salesforce username and password. Then, choose which Outlook folders
you want to sync. Depending on your sync direction, all data
in these folders will sync with Salesforce. When you click Done, your data syncs automatically
without interrupting your work.
To add email, just click the Send and Add button on an email. The email appears on the
Salesforce records it’s related to.
Now let’s see how you can manage your contacts, events, tasks, and emails in Salesforce. First,
create a contact, an then an event. For example, I've created
the contact Victoria Lyon. Here, I've created a sales call event on my
calendar. Now, when I go into Salesforce, I see Victoria Lyon in my list of contacts
and my sales call event in my calendar. Just click the new Unresolved Items
link on the sidebar to associate any other items you created in Outlook
that weren't automatically assigned to Salesforce records. Quickly resolve items by assigning
related records using the lookups. Then click Save.
Now let’s see how you can manage your Salesforce for Outlook options. Right-click the Salesforce
icon in your system tray. For example, you can manually sync, change
your login or folder settings, or jump to the configuration or your unresolved items.
Use this icon any time to manage Salesforce for Outlook.
